Job Classification: Part-time – Permanent (0.6 – 0.8 FTE, 21 – 28 hours/week)
Location: Edmonton Office
Pay Range:  $31.09 – $37.81/hour
Reports To: CEO

About Us

The Alberta College of Speech-Language Pathologists and Audiologists (ACSLPA) exists to serve the public interest through the regulation of professional speech-language pathologists and audiologists in Alberta. ACSLPA’s regulatory work includes setting admission standards, considering applications for regulated membership and issuing practice permits, creating and enforcing a Code of Ethics and Standards of Practice, investigating complaints of unprofessional conduct, creating guidelines and practice documents, enforcing continuing competence standards, and more.

General Description

Uses skills, abilities, education and experience to coordinate multiple areas of College operations as outlined in duties and responsibilities. Areas of College operations may change as the College’s operational needs change.

Training and an orientation will be provided to support the success of the selected candidate.

Duties & Key Responsibilities

Bookkeeping

  • Maintains and updates accounting records by performing duties such as recording and posting transactions in journals and the general ledger for accounts payable, accounts receivable, payroll, investments, accruals, deferrals, assets, and liabilities.
  • Prepares monthly and quarterly accounting summaries and reports.
  • Maintains bank account records; reconciles bank accounts.
  • Completes Alinity accounting and reconciliation processes.
  • Prepares and issues invoices, and pays approved invoices, including checking coding.
  • Complete bank deposits and approved transfers between bank accounts.
  • Prepares audit information for the auditor.
  • Inputs approved budget.
  • Maintains financial records, including financial asset records such as computer and office equipment and furniture.
  • Creates finance and accounting related forms.

Office Administration

  • Acts as the first point of contact by responding professionally to public and member inquires (phone, email, and in-person) and refer inquiries as appropriate.
  • Orders and maintains office supply inventory for Edmonton and remote offices.
  • Liaises with building management to report issues and arrange for services (e.g., parking permits, access cards, retrieving mail).
  • Assists with formatting and reviewing documents, preparation of printed materials, and drafting surveys as requested.

Occupational Health and Safety (OH&S)

  • Supports supervisor(s) with OH&S onboarding of new employees and contractors.
  • Creates OH&S related forms and signage.
  • Receives, processes, and distributes completed OH&S forms according to policies and procedures.
  • Participates in and documents office inspections.
  • Coordinates resolution of identified OH&S issues and deficiencies.
  • Tracks and maintains OH&S data and records.
  • Prepares regularly scheduled OH&S summaries and reports that include data.
  • Assists with increasing awareness of OH&S risks, policies, and procedures.
  • Tracks and monitors OH&S related tasks and compliance with policies and procedures and notifies the CEO of approaching deadlines.

Hearings Director Backup

  • Provides absence coverage for ACSLPA’s Hearings Director.

Performs other related duties as required and participates in projects and initiatives, including sharing feedback and ideas.

Education & Experience

  • Post-secondary diploma or degree in bookkeeping or accounting.
  • Minimum 2 years of bookkeeping or accounting experience.
  • Training in OH&S and office administration would be an asset.
  • Experience in OH&S and office administration preferred.
  • Awareness of current perspectives on anti-racism, anti-discrimination, cultural safety and cultural humility.

Skills & Abilities

  • Detail oriented; high level of accuracy required.
  • Intermediate to advanced skills in QuickBooks Online and Microsoft Office (Word, Excel, Forms, Sharepoint, Teams).
  • Basic to intermediate skills in Hubdoc and Adobe.
  • Strong analytical skills.
  • Professional demeanor; excellent customer service and telephone skills.
  • Excellent communication (verbal and written) and interpersonal skills.
  • Ability to solve problems and handle multiple activities/tasks at the same time.
  • Resilient to change.
  • Regular attendance is vital to be successful in this role.
  • Strong organizational skills and ability to prioritize workflow.
  • High degree of initiative; comfortable bringing ideas forward.
